A Punjabi Letter Without the Blank-Page Stare

If explaining your request feels easier than writing it, start by speaking. The first draft can be conversational; structure and presentation come after you know what you want to say.

Speak the purpose first

Describe what happened, why you are writing and what response would help. Keep the first pass short. You can rearrange the sentences after stopping the microphone.

Give the draft a shape

Add a subject, greeting, brief background, request and closing. Use paragraph breaks to separate those parts. Check reference numbers and contact details manually rather than relying on a spoken number.

Choose one point of view

Decide whether you are writing as “I” or “we” and stay consistent. Keep the tone respectful and direct. Do not add promises, claims or personal details simply to make the letter sound more impressive.

Make the request visible

Ask for a concrete action: a reply, a meeting or clarification. Include a deadline only when there is a real reason for it. A reader should understand what you need without having to interpret a vague closing sentence.

Review the document
